A globally renowned ultra-luxury brand is looking for a top-class EA to support one of their Senior Directors. The company is going through a period of growth, particularly in London, so this is an especially exciting time to join them.
The ideal candidate would have a background in luxury goods and ideally in luxury retail. The role is busy and very varied, giving you full involvement in the running and success of the business.
• Diary management for the director and managing appointments
• Prepare meetings (files, room reservations, meals, materials)
• Manage and coordinate international travel, ground transportation, accommodation, etc., and associated expenses
• Presentation preparation
• Manage budgets, check and approve invoices
• Organising visits and trips for VIP customers
• Attend Leadership meetings and distribute and chase follow-ups and actions
• Ad hoc tasks and projects
• Coordinate appointments
• Prepare meetings (files, room reservations, meals, materials)
• Occasionally provide support to the other Directors
• Organise and manage events and celebrations
• Coordinating buying trips with Retail & Retail Merchandising teams
• Create, develop and implement strategies for internal gatherings/culture building
• Manage internal communications
• Job responsibilities and functions are not limited to the above.
Candidate
• High level of trust and discretion
• Proven experience as a Personal Assistant in a fast-paced, demanding environment
• Organisational skills, responsiveness, ability to anticipate, attention to detail
• Rigour in the follow-up of files, ability to manage priorities
• Interpersonal skills: confidentiality, diplomacy, courtesy
• Ability to react to unforeseen circumstances and malfunctions: flexibility and agility
• Proactive and able to plan ahead
• Autonomy
• Discretion, working with sensitive information
• Sense of customer service
• Ability to interact with a variety of internal and external stakeholders, flexing your approach as needed
• Good knowledge of Microsoft Office (Word, Excel, and PowerPoint)
• Well-presented as an ambassador for the brand
