A very successful scale-up boutique finance company, based in sensational, newly refurbished offices in Mayfair, is growing and is looking for a stand-out, confident, fast-paced, social Executive Assistant to join their close-knit team. With another office in the UK and one in the States, London is their HQ, so you would be working with the Founders and Senior Leadership team.
A team of exceptionally successful financiers, it is fast-paced and demanding, but they also believe that the office environment and work should be enjoyable, so they are social and inclusive with a flat structure, with the whole team often socialising together or celebrating a success.
You would be working closely with a senior EA who supports the Founder/CEO, and you will support their Legal Counsel and one other founding director. Everyone mucks in, so you must also be happy to meet and greet when necessary and take care of the office. Ideally, you will have worked for a Legal/General Counsel or corporate FD in the past in financial services.

The duties will include, but not be limited to:
• Board packs – uploading to Board Logic/outsourcing the printing and binding of hard copies
• Printing and organising documents that need to be signed with wet ink or e-signatures
• Maintaining the website through our provider
• Preparing covering letters
• Arranging calls/meetings
• Assisting with PowerPoint presentations
• Booking travel/creating itineraries
• IT – liaising with the external support provider to fix issues
• Lunch/dinner reservations
• Diary management
• Screening calls
• Setting up video conferences and linking them up with our global offices and external guests
• Make sure all printers/photocopiers have paper in the cupboards and print trays
• Stationery orders
• Assisting with the Results Presentations in March and September, and the setup of the Annual General Meeting (AGM) in May
• Assisting with the Annual Report (January – March). This can be quite intense in terms of the speed of typing up grammatical changes to individual reports before it becomes a combined document
Essentials
Strong knowledge of Microsoft apps. Organisational skills are key, it’s a very fast-paced job, and you are constantly flipping between showing meetings in, setting up video conferencing and running back to your desk to get a document done or arranging another meeting, knowing how to prioritise is a must. Attention to detail is essential.
Candidate:
• The role is fast-paced, and attention to detail is essential.
• Strong knowledge of Microsoft Office.
• The candidate's background should be from a financial services background, or legal experience would be helpful, but not essential.
• Excellent organisational skills are the ability to prioritise
• The right candidate will have energy, enthusiasm and a positive personality who is committed to working in a collaborative environment and keeping up morale.
• Must have the willingness to get your hands into anything asked. Between you and two other EAs, you will ensure the smooth running of the office and provide the best support possible to the founding team.
