We are looking for a Facilities Assistant to join one of our favourite clients, a super successful and award-winning boutique firm. Based in the heart of Mayfair, you will be part of a small team which works very collaboratively to ensure the office runs like clockwork.
The team are about to embark on a very exciting complete office refit so it will be all hands to the deck to assist in coordinating this to make sure that deadlines are met.
A huge project that will require meticulous organisation, this will run alongside the day-to-day running of the office.
Duties will be very varied and include:
• Deal with day-to-day issues including office appliances, aircon queries, desks etc
• Organise, manage and facilitate maintenance, handyman and other trades’ service visits and liaise with Building Management
• Liaise with contractors re invoices, purchase orders and details of jobs, upload purchase orders and manage/track progress
• Liaise closely with Housekeeping Team and cleaning company
• Manage Health & Safety issues, organise assessments and ensure compliance
• Carry out daily floor checks to check for tidiness, appliances working and general functioning of office areas
• Starters and Leavers: set up of desks and equipment and starter pack for starters, conduct office and fire exit tours, clear leavers’ desks
• Update scanner directory regularly
• Manage and deliver on projects relating to the re-fit of the company
• Update facilities’ logs, and follow up promptly on outstanding works
• General administrative duties incl. photocopying, binding of presentation materials
• Cover reception when needed
• Assist with management of OM inbox, file emails and correspondence into the right folders
• Provide cover/support for the team assistant with travel bookings and expenses management
• Support office manager with office management duties when required
• Order stationery and other supplies as requested
The successful candidate will be bright and hard-working, with a really positive, muck-in in and can-do attitude. Someone totally non-precious and happy to get stuck in whilst working as part of a team.
You will need to be agile and flexible and ideally come with some previous facilities or office management experience.
